Tracking Tapes - VaultTracker or Something Else?

Post Tracking Tapes - VaultTracker or Something Else? 
I wondered if I could get a little advice please?

We currently run a report each Tuesday (when the weekends aux copies generally finish) of full/appendable media that are in the library for the storage policies that we want to export.

We then take tapes out of our libraries in bulk, as in remove magazines, take out 20 tapes, insert magazines, run inventory.

To keep track of locations we either do a "Set Media Location" by right-clicking the library, or we set it on individual media if we export a tape individually (which is rare).

Is there a better, and more importantly a simpler way to do this please?

Right now we cope as we're pretty much moving one "copy" per policy worth of tapes to/from one location, but in the future we're going to be dealing with at least two copies per policy with a couple of locations, so I'm concerned that human error is going to creep in and we won't know what is where.

We're on CLA so presumably can use VaultTracker and anything else that Commvault offers, but I don't know enough about all of the options to know what would be most suitable.

Post Tracking Tapes - VaultTracker or Something Else? 
Definitely look at VaultTracker.  Beyond tracking, recall, and Iron Mountain-compatible reports, it will also automatically issue commands to the library to eject all the eligible media to the library's cap/door on your schedule, increasing accuracy and reducing time spent managing tape ejects.

Post Tracking Tapes - VaultTracker or Something Else? 
Paul, we've set up a Vault Tracking policy that exports offsite tapes on a daily schedule. The policy specifies the source Tapelib(s) and Storage Policies which qualify for export, as well as our Destination. We move tapes individually, not in a container. And we do not use tracking for the tapes in transit, or upon arrival at the Offsite location. Therefore, we've enabled the "Auto Acknowledge" checkbox in our Vaultracker Policy. This authorizes Commvault to update the tape's location as the Offsite Destination immediately upon its removal from the I/E slots in the Tapelib. For our Criteria, we select Overwite Protected, Full, Bad, Appendable, and Active. Originally we left the Bad tapes unselected, but found that if tapes were deprecated due to Tapelib robotic errors, they got left behind.

We were never able to configure a satisfactory Tape Return Policy with VaultTracker, so we run a daily Media report showing all Scratch Tapes residing in the remote location. When a returning tape is inserted in the Tapelib, its location is automatically updated as residing in the Library (based on our Tapelib config I presume). We do have an issue when we return more tapes than we can accommodate in the Tapelib's empty slots. In that case, the tapes still appear to be Offsite to Commvault and show up in subsequent days' reports. To keep them from being recalled daily, we manually update the location for these returning tapes to an Onsite Storage Location we have defined.

Post Tracking Tapes - VaultTracker or Something Else? 
How much hassle is it to try it out on an existing set of policies and tapes? Because we take out a dozen or two dozen tapes in one go we don't actually "export" using any of the export options and we don't use the mail slot/door on the library as it would take too long - we literally pop the magazines and remove the tapes in one hit.

Thanks George, that's some very useful info. It highlights some of the gotcha's that I could think of, which are that in our case we can't guarantee that tapes will go offsite or come onsite on a particular day - because we do aux copies it might be that one week the aux copies finish in time to offsite the tapes on a Monday, the next week it might be Tuesday.

Ditto tapes coming back onsite, one week they might be brought to us on a Wednesday, one week on a Friday, so whilst a bit manual, a bunch of reports does work quite well.


The biggest problem I can see is that AFAIK you can't customise a report to show you the tapes to export that only relate to a specific storage policy copy, making it tricker to split out "show me the tapes that need to go to offsite A" from "show me the tapes that need to go to offsite B".

<!DOCTYPE HTML PUBLIC "-//W3C//DTD HTML 4.01//EN" "http://www.w3.org/TR/html4/strict.dtd"> I do our tape retention as 3 days 1 cycle and then an extension rule for monthly fulls. I have my eject job on vault tracker as Tapes must be Full and no read/write in last hour.

My VT return job says anything at Vault which hasn't been written in 25 days requests return. That way tapes only go scratch here and not while at vault. I don't have to check 2 locations for scratch.
